Terms of Service

By creating an account or using Asterism (the “Service”), you (“Organiser”, “you”) agree to these Terms.

1. The Service

Asterism is a platform for managing event participants — registration, rooming, groups/teams, transport, check-in, and exports — for camps, conferences, and similar events.

2. Accounts

  • You must provide accurate information and keep your credentials secure.
  • You are responsible for all activity under your account and for the people you grant access to your events.
  • You must be authorised to act for the organisation you represent.

3. Your responsibilities for participant data

  • You are the data controller of participant data you collect or upload; we are your data processor under the Data Processing Agreement, which is incorporated into these Terms.
  • You are responsible for obtaining all necessary consents from participants and, where participants are minors, from their parents/guardians — including explicit consent for sensitive data (medical, dietary, religious, national ID).
  • You must have a lawful basis to collect and share each data field you enable.

4. Acceptable use

You will not: use the Service unlawfully; upload data you have no right to; attempt to breach security; reverse-engineer or resell the Service; or use it to harm, harass, or endanger participants.

5. Fees

The Service is offered on a freemium basis. Each camp may be used free of charge for up to 50 active participants. To exceed that limit, the camp must be on a paid plan, which removes the participant cap. Free use is not time-limited.

Paid-plan fees are shown in the app at the point of upgrade and billed by invoice, payable on the terms stated there. We may change pricing on reasonable notice; changes do not affect a camp already paid for the current term. Reaching the free limit never deletes or restricts access to data you have already entered — it only prevents adding further participants until the camp is upgraded.

One camp, one event. Each camp represents a single event and requires an event date. Three months after that date the camp becomes read-only: its data stays available to view and export, but it can no longer be edited. To run another event, duplicate the camp — this copies your setup into a new camp (a new billable event). A camp with no date set is prompted to add one, and may be limited to read-only until it does. This keeps each event, and its fees, distinct; it is not a deletion — your data remains accessible and exportable under section 7.

6. Availability & support

We aim for high availability but do not guarantee uninterrupted service. Support is provided via support@asterism.events on a reasonable-efforts basis.

7. Data & exports

Your data is yours. You can export your event data at any time. On account closure we will delete your data subject to the retention terms in the Privacy Policy and DPA.

8. Disclaimers

The Service is provided “as is”. Algorithms (rooming, group, transport suggestions) are decision aids — you are responsible for reviewing and approving all assignments. We are not responsible for decisions you make using the Service.

9. Limitation of liability

To the extent permitted by Malaysian law, our total liability arising from the Service is limited to the fees you paid in the 12 months preceding the claim (or, during any free period, RM0). We are not liable for indirect or consequential losses.

10. Termination

Either party may terminate with notice. We may suspend accounts that breach these Terms or put participant data at risk.

11. Governing law

These Terms are governed by the laws of Malaysia, and disputes are subject to the jurisdiction of the Malaysian courts.
